What personal information Backend Solutions LLC collects, why we collect it, how long we keep it, and the choices you have.

1. Who we are
Backend Solutions LLC (“Backend Solutions”, “we”, “us”) is a design, development and writing studio registered in the State of New Jersey, United States, at 16 Surrey Ln, Belle Mead, NJ 08502-5854, United States. This policy covers backendsolutionsllc.co and the services we deliver through it.
We are the data controller for the information described below. For questions or requests, reach us at info@backendsolutionsllc.co.
2. Information we collect
We collect only what we need to answer you and do the work:
- Information you send us. When you submit the project brief form, we receive your name, email address, and — if you choose to fill them in — company or book title, budget range, the services you selected, your written brief, and whether you want an NDA first.
- Information from email and calls. Anything you send by email or discuss on a scoping call, including files and drafts you share with us.
- Client and project records. For clients, the contract, scope, invoices, payment records, and the material needed to deliver the project (brand assets, site content, manuscripts, credentials you give us).
- Server logs. Our web host records the IP address, browser user agent, requested page and timestamp for each request. These are standard security and diagnostic logs.
We do not ask for, and would rather you did not send, sensitive categories of data — health information, government identifiers, or payment card numbers. Invoices are paid through a third-party processor, so we never see or store your full card details.
3. Why we use it
We use your information to:
- reply to your enquiry and prepare a scope, price and timeline;
- deliver, support and invoice the work you hire us for;
- keep records we are required to keep, such as contracts and tax records;
- secure the site and investigate abuse or attempted attacks;
- send an occasional project update to an active client — never marketing to someone who only sent an enquiry.
Our lawful bases, where the GDPR applies, are: your consent (the form you chose to submit), the performance of a contract (delivering the project), our legitimate interests (site security, replying to business enquiries), and legal obligation (tax and accounting records).
4. What we do not do
We do not sell, rent or trade your personal information. We do not add enquiries to a mailing list. We do not use your details for advertising or share them with advertising networks, and we do not build profiles or make automated decisions about you.
5. Who else sees it
We share information only with the service providers we need to run the studio, and only what each one needs:
- Web hosting and email. Our host stores the site, the server logs and the inbox that receives your brief.
- Payment processing. Invoices are issued and paid through a payment provider that handles card data directly.
- Delivery platforms, at your direction. Where a project requires it — a publishing distributor, an app store, a hosting account in your name — we submit only what that platform needs.
- Professional advisers and authorities. Our accountant, or a regulator or court where the law requires disclosure.
Subcontractors on your project are bound by confidentiality terms at least as strict as ours, and by your NDA where one exists.
6. How long we keep it
Enquiries that do not become projects are deleted within 24 months. Client project files and correspondence are kept for the length of the engagement and for 7 years afterwards, which is what our tax and contract records require. Server logs rotate within 12 months. If you ask us to delete something sooner and no law requires us to keep it, we will.
7. How we protect it
The site is served over HTTPS. Access to the inbox and project files is limited to the people working on your project and protected by strong, unique credentials and two-factor authentication where the platform supports it. We sign a mutual NDA before the brief on request, and by default on ghostwriting and product work.
No system is perfectly secure. If a breach affects your personal information, we will notify you and any required authority without undue delay.
8. Your rights and choices
Wherever you live, you can ask us to show you the personal information we hold about you, correct it, or delete it. Email info@backendsolutionsllc.co and we will respond within 30 days. We may need to confirm your identity first, and we will never charge you or treat you differently for asking.
If you are in the EU or UK, you also have the right to restrict or object to processing, to receive your data in a portable format, to withdraw consent at any time, and to complain to your data protection authority.
If you are a New Jersey resident, the New Jersey Data Privacy Act gives you the rights of access, correction, deletion and portability described above, and a right to appeal a refused request — reply to our decision and we will review it. Residents of other US states with comparable laws may exercise the same rights. We do not sell personal data, use it for targeted advertising, or profile you for decisions that affect you, so there is nothing to opt out of on those grounds.
9. Children
The site and our services are for businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, email info@backendsolutionsllc.co and we will delete it.
10. International transfers
We are based in the United States, and the information you send is stored and processed here. If you contact us from outside the US, you are sending your information to the US. Where a transfer out of the EU or UK is involved, we rely on the European Commission’s standard contractual clauses or an equivalent safeguard.

The site sets no advertising or tracking cookies. See the cookie policy for the full detail.
12. Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes that affect how we handle information already collected will be emailed to active clients.
